•Exhibitors are limited strictly to professionals in the health and wellness fields – to be determined by the Health EXPO Committee.
REGISTRATION / SET UP*
Friday, October 5, 2012, 3 pm to 6 pm at the Natatorium
*PLEASE NOTE there will be NO SET UP AVAILABLE ON SATURDAY MORNING.
Unload at the east parking lot entrance. Exhibitor space must be set up by 6 pm on Friday, October 5, 2012 (the evening before the Health EXPO).
Exhibitors that are not set up by this time will forfeit their spaces, and refunds will not be given. No exceptions to this rule.
TEAR DOWN: Saturday, October 6, 2012 from 1 pm – 2 pm
SPONSORSHIP OPPORTUNITIES:
Premier Sponsor: $500 Member / $1,000 Non-Member*
Includes premier location with two 8′ x 4′ spaces, two 6′ x 2½’ tables, four chairs, and two table-cover/skirting sets. Also includes your LOGO on flyers and advertising as well as a 60 second commitment commercial at the 10am event kick-off with Mayor Robart and the Health EXPO Committee.

EXHIBITOR OPTIONS:
MEMBER Exhibitor Space: $125 includes one 8’ x 4’ space, one 6’ x 2½’ table, and one chair. If you have a free standing banner to display next to your table you will have a choice to display this where your 1 chair is and forfeit the chair. Please note if your table top display doesn’t fit on a 6’ table you will not be permitted to use your display. Chamber Member dues must be current to participate at the member rate.
NON-MEMBER Exhibitor Space: $225 includes one 8’ x 4’ space, one 6’ x 2½’ table, and one chair. If you have a free standing banner to display next to your table you will have a choice to display this where your 1 chair is and forfeit the chair. Please note if your table top display doesn’t fit on a 6’ table you will not be permitted to use your display. $100 of your payment can be used as a credit toward a new membership with the Cuyahoga Falls Chamber of Commerce. Offer expires December 31, 2012.
A LA CARTE ITEMS:
Extra Large Space/Wall Space: $30 (You will need to request this space if you have a 10’ high x 10’ long display unit/exhibit as this size display will not fit in the center table spaces. Limited spaces available.)
Electric: $15 (You must supply a commercial grade extension cord. Electric is limited and on a first come first served basis and will NOT be available to order on the day of the Health EXPO.)
RULES AND REGULATIONS:
•The Community Health EXPO Committee reserves the right to decline or prohibit any exhibit, or part of exhibit, which is not in keeping with or is detrimental to the character and spirit of the show. Exhibitors are strictly limited to professionals in the health and wellness fields – to be determined by the Health EXPO Committee – on a first-come, first-served basis.
•Exhibitors can promote their business/organization from their assigned spaces only. Any activity taking place at your space must fit within that space.
•Aisles must be kept clean and clear. Nothing may be in an aisle way including banners, chairs, etc. The Health EXPO Committee has the final determination of this and will remove items from the aisle without notice.
•All exhibitor spaces must be staffed throughout the Health EXPO.
•Each exhibitor is responsible for his/her own refreshments. Eating is not permitted at exhibitor spaces; beverages are allowed.
•Please use the trash receptacles provided to dispose of all trash. You are responsible for keeping your space clean.
•The fastening of materials to building walls, ceilings, floor or columns is expressly prohibited. Any exhibitor with an interactive display will be required to supply advance proof of liability insurance to the Health EXPO Committee.
•This EXPO is for the display and promotion of your wares and services only. The exchange of money is expressly prohibited. Orders may be taken. Exceptions are for health screenings that have been pre-approved by the Health EXPO Committee.
•Consider offering a door prize at your table/space. If you wish to do so you would be responsible to provide the prize, entry blanks, pens and a receptacle. The drawing will be held at approximately 12 pm at the main podium. All exhibitors are welcome to participate in this.
•No smoking is permitted in the Natatorium or on its grounds. It is a non-smoking facility.
•All other rules that apply to any visitor at the Natatorium will also apply to all Health EXPO exhibitors and visitors.
•Parking and unloading your vehicle: Please unload your vehicle at the east parking lot entrance, and then promptly move from the unloading area to the City parking lot on Stow Street which is across from the Natatorium’s front (north) entrance.
BOOTH SIZE/TABLE COVERING/ELECTRIC:
•Each exhibitor is given an approximate 8’x 4’ space with one 6’x 2½’ table and one chair. Subject to change.
•If you have a free standing banner to display next to your table you will have a choice to display this where your 1 chair is and forfeit the chair.
•Please note if your table top display doesn’t fit on a 6’ table you will not be permitted to use your display.
•Please be courteous of your space and your fellow exhibitors’ spaces.
•All exhibitor tables must be covered for the Health EXPO. This is the exhibitor’s responsibility.
•Electricity must be requested and paid for prior to the Health EXPO. It will not be available to purchase at the Health EXPO.
•Any unauthorized use of electricity will be assessed a $30 fee for which you will be responsible.
•Exhibitors may not use household extension cords. Only 14 gauge extension cords or power strips with surge protection will be permitted.
TEAR DOWN TIME:
•Saturday, October 6, 2012 from 1 pm – 2 pm only.
•Tearing down earlier than 1 pm may result in the exhibitor not being permitted to participate in the Health EXPO the following year.
•You will have one hour (1 pm-2 pm) for tearing down on the day of the Health EXPO. If any items remain after this time, they will be discarded.
•The Cuyahoga Falls Chamber of Commerce and the Natatorium will not be responsible for any lost items or for items that are left behind at the Health EXPO.
SECURITY & LIABILITY:
•Overnight security is not provided. Neither the Natatorium nor the Cuyahoga Falls Chamber of Commerce will be responsible for any loss, damage, injury or theft that may occur to an exhibitor, his employee(s) or property from any cause whatsoever, prior, during or subsequent to the period covered by the application.
•The exhibitor, upon signing the application/rules & regulations, expressly releases all claims for loss, damage or injury.
•Any damage to the exhibit hall due to the carelessness of an exhibitor will be the responsibility of that exhibitor.
•No solicitation is permitted by Health Expo attendees.
AMPLIFICATION:
•The use of recording, slides or other audio-visual equipment is allowed from your exhibitor space but must be contained within your paid space.
•Please keep the volume of any such devices at a level that does not exceed that of normal conversation.
SHARING/SUBLETTING OF SPACE:
•Only a paid exhibitor whose name is on the signed application may promote his/her business from that space.
•Event policy strictly prohibits the resale or subletting of exhibit space.
•Exhibitors may display only merchandise regularly sold by them and listed on the official application.
MATTERS NOT COVERED:
•The Cuyahoga Falls Chamber of Commerce Health EXPO Committee reserves the right to rule on all matters pertaining to the event, whether expressly mentioned or not.
•The exhibitor, by signing the application below, agrees that all rulings on pages 1-3 shall be binding upon both the exhibitor and the Cuyahoga Falls Chamber of Commerce.
